ASSISTANT CLINIC COORDINATOR – LOCAL DOCTORS - MT ROSKILL

At Tāmaki Health, we're committed to delivering high-quality care through our network of over 50 general practice and urgent care clinics across New Zealand. As the Clinic Coordinator, you'll be the operational leader of our new clinic located on Mt Roskill.

Discover top-notch healthcare at Local Doctors Mt Roskill Medical and Surgical Centre, your go-to destination for urgent care and general practice services. Open 7 days a week from 8 am to 8 pm, we offer convenient evening and weekend appointments to fit your busy schedule. Our experienced team provides comprehensive care for accidents, injuries, and minor health issues, including x-rays and referrals to specialists if needed. From managing chronic conditions like asthma and diabetes to routine screenings and immunizations, we've got you covered. 

WORKING HOURS:

The clinic's operational hours are from 8 am to 8 pm, seven days a week. The Assistant Clinic Coordinator will need to work five days a week within these hours to support the clinic's operations.

Key Responsibilities:

​1.        Leadership and Coaching:

  • Create a positive and motivating workplace.
  • Build a team that embodies Tamaki Health values.
  • Ensure clinic compliance with Health & Safety regulations.
  • Identify and address staff training needs.
  • Train, develop, and supervise Medical Receptionist staff.
  • Manage clinic rosters and staff attendance.
  • Conduct timely performance reviews and appraisals.
  • Foster a positive clinic culture and build a strong team.

 

2.       Day-to-Day Service Delivery:

  • Ensure all clinic consultations and interventions meet health delivery requirements and are invoiced correctly.
  • Support the Clinical Lead to implement clinical best practices for quality patient care.
  • Manage clinic equipment and facility maintenance.
  • Monitor clinic performance and targets.
  • Oversee claims and payment accuracy.
  • Ensure all Recalls, CBIT lists, Scanning, Emails and ManageMyHealth are regularly managed.​

3.      Exceptional Patient Care:

  • Oversee patient flow and clinic waiting times.
  • Manage patient diversions and address concerns.
  • Maintain patient confidentiality.
  • Handle complaints and escalate issues when needed.
     

4.      Clinic Operations:

  • ​Assist with staff rosters in alignment with the budget.
  • Ensure the clinic facilities are well-maintained.
  • Oversee patient enrolment and communicate new processes or protocols.

5.      Compliance & Accreditation:

  • Maintain Cornerstone and Urgent Care accreditation.
  • Ensure staff have valid accredited certificates.
  • Help to drive new patient enrolments and update re-enrolments to grow the clinic register and maximise funding opportunities
  • Conduct audits and manage recall lists and inboxes as needed.

6.      Communication:

  • Foster effective communication within the clinic and across Tamaki Health clinics.
  • Stay informed of group-wide information through meetings and education sessions.

7.       Health & Safety:

  • Ensure the safety of staff, contractors, patients, and visitors.
  • Report and mitigate health and safety hazards.
  • Comply with safety instructions and policies.

8.      Treaty of Waitangi:

  • Commit to respecting the Treaty of Waitangi and work for health equity outcomes.

KEY SELECTION CRITERIA:

Qualifications, Skills, and Knowledge

  • Post-secundary qualification. 
  • Advanced clinical knowledge.
  • Relevant experience post-graduation in Emergency Department, General Practice, or Urgent Care Clinic. (Desirable)
  • Experienced in working in a multi-level organisation.

Skills & Knowledge:

  • Strong stakeholder management and collaboration skills.
  • With excellent strategic awareness and can appreciate the broader commercial and health-outcome perspective.
  • Adept in computer operations and has high proficiency in MS Office Applications (Word, Excel, PowerPoint)
  • Knowledge of MedTech Evolution is an advantage but not required.
  • Ability to adapt communication style as needed.
  • Discretion and sound judgment to mitigate risk.
  • Proficient with change management.
  • Ability to handle sensitive and confidential information.
  • Excellent verbal and written communication skills.
  • Strong prioritisation and deadline management skills.

Other Requirements

  • Proof of legal right to work in New Zealand (Essential).
  • Someone committed to health equity and cultural competency and can demonstrate an understanding of Tikanga Māori, Kawa Māori, and Te Tiriti o Waitangi.
  • Must comply with the requirements under the Vulnerable Children Act 2014.
